Automating Approval Workflows On-time and On-budget

Posted on: November 30, 2021

Approvals and requests take many forms and range in importance, effort, frequency, and complexity. Whether simple and repetitive, like IT application access and password resets, or complex like loan approvals and capital expenditures, automating these processes promises improved customer and employee experience; reduced costs, turnaround times and effort; and compliance with policies and regulations.

When you think about it, a great deal of what we do at work involves completing, processing, and tracking approvals and requests.

These requests range in importance, effort, frequency, and complexity. Some are simple, repetitive, and low risk like IT application access, password resets, and hardware purchases. Some - like loan approvals, major capital expenditures, and product engineering changes - are complex and come with significant financial or reputational risks.

Enterprises across every geography and industry are accelerating their efforts to digitize every aspect of their business. But to realize strategic value from these initiatives – pervasive, flexible, and seamlessly connected end-to-end business processes – you need to think about more than just speeding up application delivery. You need to begin with the end in mind!

Interest in workflow automation is at an all-time high. According to a recent survey, 80% of executives are planning to increase spending on automation initiates in 2022 and 72% are looking to shorten the timeline for automation initiatives.

Financial and accounting operations are an ideal candidate for workflow automation as accurate and timely reporting, spending approvals, financial control, and compliance requires the time consuming and error-prone coordination of people - across departments, legal entities, and time zones - and data - from spreadsheets, ERP, and other operational systems. With remote and hybrid workers, knowing where things stand and ensuring it all gets done now takes even more effort, causes more frustration, and further increases personal exposure.

The month-end financial closing process is one of the most important business processes - and one of the most challenging.

Coordinating data, documents, tasks, and people across multiple facilities, departments, legal entities, systems, and time zones is time consuming and error prone. And with each passing day, it takes more effort, causes more frustration, and increases personal exposure.

Although an obvious opportunity for technology, numerous packaged month-end closing offerings have struggled to meet the need – forcing customers to choose between living with the application’s limitations or embarking on a course of expensive and hard to maintain customizations; in both cases, forcing customers to pay for irrelevant or unneeded functionality while adding yet another layer of technical debt.

But along with excitement comes noise, hype, and grand claims. How can you know if a vendor’s claims are accurate and that their platform can solve your problems? How can you demonstrate the viability and business value of your automation project?

The best answer is a Proof of Concept.

Ultimus Webinar: Traditional BPM Gives Way to Digital Process Automation

This webinar is now over.

BPM is undergoing a profound change. Where cost savings were once the primary driver of BPM projects, the emphasis is changing to customer experience and, ultimately, to digital transformation.

In this webinar, guest presenter and Forrester Research Vice President and Principal Analyst Rob Koplowitz will explain Forrester’s rationale for replacing “Business Process Management” (BPM) with “Digital Process Automation” (DPA) and how the digitization of all business functions – and turning data into insights that provide a better customer experience - is an imperative that will become the strategic differentiator of the future.

Usama Mehmood will present the Ultimus Composed Process Solutions vision of Digital Process Automation: Replacing today’s notion of business process automation – doing what we do today in electronic form – with a new notion – turning business processes into digital assets that can be composed and recomposed on demand for ongoing business transformation.

Brian Patsy will provide specific, “real world” examples of the benefits and ROI of DPA, how new thinking and new tools can fulfill critical, unmet business needs faster and at a fraction of the cost of other approaches.

Key Takeaways:

  • DPA tools must be inexpensive, easy to adopt, and offer rapid deployment and iteration
  • Avoid process automation technologies that create digital islands and multiply complexity
  • Software families that inherently work together are a must for customer-obsessed organizations

Ultimus Announces Composed Process Solutions for Human Resources

June 24, 2016  —  Ultimus announces the successful deployment of three new Composed Process Solutions-based processes for Human Resources:  New Employee Onboarding, Employee Separation/Termination, and Employee Salary Adjustment Approval.

Composed Process Solutions (CPS) employs the principles of product line engineering and automated manufacturing to create a software “application factory” for BPM-based workflow solutions.  Instead of “handcrafting” one-off solutions using development tools like BPM Suites or Low Code development platforms, CPS allows implementers to simply describe solutions that are generated automatically in real-time from a standardized architecture and proven, optimized, and high-quality solution assets.  The result: Order of magnitude improvements in solution delivery time, quality, and cost.

This trio of solutions showcases several key benefits of the Ultimus Composed Process Solution approach including:

  • Rapid implementation of process automation workflow solutions;
  • A consistent look and feel and integrated solution work environment to reduce training;
  • Global solutions management and cross-solution compatibility;
  • Optimized responsive design and device detection to seamlessly extend solutions to mobile devices; and
  • Ready deployment and extension without recompiling or stopping and restarting servers.

Although CPS enjoys many fundamental advantages over other development approaches, the addition of each new CPS solution further increases the scope of reusable assets that are available to new CPS solutions - and reduces the effort manage and maintain them.

Ultimus Announces Composed Process Solutions Go-Live: Travel Expense Reporting

June 9, 2016 — Ultimus announces that it has successfully deployed a new Composed Process Solutions-based employee travel expense reporting and approval process.

Our customer, a mid-sized multi-national software company, faced the challenge of managing numerous independent systems for internal and customer-billable travel as well as for various currencies and languages. They selected CPS as the best approach to quickly and cost effectively (1) implement a single solution that covers the full spectrum of their needs and (2) extend the process to mobile devices such as iPads and iPhones.

The new CPS travel solution allows employees to report expenses and upload receipts from any device; assign expenses to departments, regions, or customer projects; and report and be reimbursed in multiple currencies.  As the request moves through the approval process, any participant can select the language localization they are most comfortable working with. Finally, the solution is integrated with SharePoint (for document retention) and Great Plains (for general ledger).

In less than one month, our customer was able to implement a solution that eliminated multiple redundant solutions, more accurately and quickly re-bills customer project expenses, and provides visibility into expense trends.

In addition, the standardized CPS approach will allow other processes, such as a planned travel pre-approval process, to work together seamlessly and be implemented with minimal additional end-user training.

Get started here to see the power of CPS with your business solution.

Introducing the Ultimus Case Creation Wizard: An Easier Way to Get Your Support Issues Solved Faster

Posted September 22th, 2014

Every system needs to be performing on its full scale in order to get maximum output. Sometimes issues in the production environment can cause a system to not work efficiently and the desired goals cannot be achieved. If any such issue were to occur, Ultimus now has a new and easy way to resolve support issues faster.

The Ultimus Support Case Creation Wizard (CCW) is a new tool inside the Ultimus Customer Portal that allows you to more quickly submit and resolve support cases.

Simply launch the CCW and let it run to collect data about your BPM system. Once connected to the internet, the CCW allows automatic case creation and will automatically attach all the required and previously collected data. Ultimus will then have all the info we need to analyze and solve the issue much faster than ever before.

  • Skip the tedious tasks – Information and system data collection is automated. Data entry is therefore auto-populated when submitting a support case so you don’t have to worry about filling out all of your configuration information.
  • Keep your data secure – The CCW has been designed to protect and secure all of your data. No confidential information will be accessed or stored, and all information will be transferred only when you want it to happen. You also have the option to view all collected data before submitting your case.
  • Reduce time-to-resolution – After a case is submitted, the Ultimus Support Team will then immediately have all information on hand to identify the cause of your system issue more rapidly. Multiple requests for additional or corrected data are no longer necessary.
