Kapitalska Druzba Selects Leader in Business Process Management and Provider of e-Business Software to Automate its Portal Processes |
Munich— January 3, 2006 — Ultimus, the leading provider of Business Process Management (BPM) and Workflow Automation software and services that enable the shortest time to value and Crea D.o.o., a leading provider of e-business software, today announced that Kapitalska Družba has deployed the Ultimus BPM Suite to streamline in-bound and out-bound communications within its Web-based portal, simplifying processes for clients across the organization.
Kapitalska Družba (KAD) is the largest manager of mutual pension funds in Slovenia. The company currently manages four pension funds, with more than 200,000 members, and has over 500 companies in its portfolio. KAD also has a balance of more than 205 milliards of Slovene Tolars (approx. 1 billion € or 3 percent of Slovenian Gross Domestic Product in 2004).
In 2004 Kapitalska Družba started a Closed Mutual Pension Fund for Public Officials, the fourth and so far the largest mutual pension fund in Slovenia. “When creating the new fund we also wanted to include electronic services that would help us develop new services for managing pension fund liabilities,” said Matic Debelak, information and communications manager at Kapitalska Družba. With the introduction of electronic services KAD wanted to augment the standard communication channels, particularly mail and telephone.
All electronic services offered by KAD can be found at the Kad.Net website. For the development of the solution KAD turned to CREA, a company that had already worked with KAD in the development of other electronic services. The basic project requirements were security, reliability, adaptability, process automation and the ability to integrate with the back-end system. The project group decided to develop a specific web portal that would rely on Ultimus for automated business processes on the one side and on an Oracle back-end system on the other side.
Since the beginning of 2003 KaD.Net was used to exchange over 112,000 documents with 4.5 million entries about members and payment details. KaD.Net services gave Kapitalska Družba and its customers an effective solution to reduce immediate and operational costs. At the same time the solution offers additional benefits such as a user-friendly way of storing and archiving documents. With this high-level of traffic, KAD needed to automate the processes surrounding the workflow of these documents, to ensure the security and integrity of the documentation.
“When evaluating KAD’s needs, it was obvious that BPM would be a good fit for this organization and its portal,” said Andrej Guštin, senior project manager in Crea d.o.o. “We chose to work with Ultimus because the company has a superior product and since it is Microsoft based we knew it would be an easy integration.”
A main focus in designing the solution was simple connectivity to other solutions and automation of routine work processes of connectivity within Kapitalska Družba. “In developing KaD.Net we used all the key components that represent the foundation of modern electronic services,” emphasized Debelak. The connectivity solution uses the software Ultimus, which supported three processes in the first stage: login procedure, operations management and statistical reporting. An important part of the solution was the integration with existing back-end software, which is based on the Oracle database. The data exchange between the two environments is done asynchronously in very short, ten seconds intervals. This approach is a guarantee for additional reliability since Microsoft SQL Server 2000 acts as a “shadow” database in the event of the Oracle database being unavailable. This assures that the web site retains complete functionality and remains operational at all times.
Crea and Ultimus were able to model a process based on all of the requirements set forth by KAD and had the process running smoothly in a short period of time (less than two months). Since its initial implementation, KAD has also used Ultimus to automate additional processes such as change management and claims management.
